01About these terms

These Terms & Conditions (“Terms”) govern your use of the website apexworldwidevisa.com (the “Website”) and the services provided by APEX Worldwide Visa Services LLP (“APEX”, “we”, “us” or “our”), with its office at Amba Deep Building, 2nd Floor, Office No. 207, KG Marg, Connaught Place, New Delhi, Delhi 110001, India.

By using the Website, submitting an enquiry, or engaging our services, you agree to these Terms. If you do not agree, please do not use the Website or our services. Where we agree specific terms with you in writing for a particular service (for example, in a quotation or service agreement), those specific terms will apply together with these Terms, and will prevail if there is any conflict.

APEX is a private visa and travel facilitation company. Depending on your requirement, our services may include:

• Visa appointment booking assistance, where the relevant authority or application centre offers appointments
• Passport and document verification (review for completeness, not legal certification)
• Business invitation letter guidance and business travel support
• Factory visit coordination and interpreter or translator arrangements
• Flight booking, hotel booking, travel insurance and airport transfer assistance
• Tour packages and travel consultation for business and leisure journeys

The exact scope of work, deliverables and timelines for your case will be confirmed by our team before we begin.

03Visa decisions and independence from authorities

• Our role is limited to guidance, preparation and coordination based on the information and documents you provide.
• Visa rules, document requirements, fees and processing times are set by the authorities and can change without notice. Any information we share reflects our understanding at that time.
• A refusal or delay by an authority does not by itself make APEX responsible, and does not entitle you to a refund of our service fee except as stated in Section 06 or agreed in writing.

04Your responsibilities

When you use our services, you agree to:

• Provide complete, accurate and genuine information and documents. Submitting false, altered or misleading documents may lead to refusal, bans or legal action by authorities, and we may stop working on your case.
• Ensure your passport is valid for the period required by the destination country and has the required blank pages.
• Share documents, signatures, biometrics and payments within the timelines we communicate, and attend appointments or interviews in person where required.
• Review all forms and bookings before submission or confirmation, and inform us immediately of any error or change in your travel plans.
• Comply with the laws and entry conditions of the countries you travel to, including the conditions of your visa.

05Fees and payments

• Our service fee is separate from government, embassy, consulate or visa application centre fees, and from third-party charges such as airline tickets, hotel stays, insurance premiums, courier, translation or interpreter costs.
• We will share the applicable charges with you before work begins. Prices shown on the Website, including package and deal prices, are indicative and subject to availability, dates and confirmation by our team.
• Government and third-party fees are charged as set by the respective authority or provider and may change at any time; any such change will be passed on at actual cost.
• Payments must be made through the methods confirmed by our team. Applicable taxes will be charged as per law.

06Cancellations and refunds

• Service fees: once our team has started work on your file (for example, document review, form filling or appointment booking), the service fee is generally non-refundable, unless otherwise agreed in writing.
• Government and centre fees: these are paid to the authority or centre and are refundable only if, and to the extent, the authority or centre refunds them.
• Flights, hotels, insurance and packages: cancellation, change and refund rules are set by the airline, hotel, insurer or supplier. Their charges apply, and refunds are passed on only after we receive them from the supplier.
• If APEX is unable to provide a service you have paid for due to reasons within our control, we will refund the unused portion of our service fee.
• Approved refunds are processed to the original payment method or by bank transfer, within a reasonable period after approval.

07Third-party services

Many parts of a journey are delivered by independent third parties such as airlines, hotels, insurers, transport operators, interpreters, visa application centres and payment providers. Their own terms and policies apply to their services. While we coordinate on your behalf with reasonable care, APEX is not responsible for delays, cancellations, overbookings, schedule changes, service quality, or other acts and omissions of these third parties.

08Use of the website, enquiries and chat assistant

• Content on the Website is for general information only and is not legal or immigration advice. Please confirm the requirements for your specific case with our team before acting on it.
• Enquiry forms and buttons on the Website may open WhatsApp with your details pre-filled. Your message is sent only when you choose to send it in WhatsApp.
• The Website includes an automated chat assistant that answers common questions from general information about our services. Its replies may not cover your specific case and should be confirmed with our team. They do not create any commitment, quotation or contract. Please do not share passport numbers, ID numbers, payment details or other sensitive information in the chat.
• The search form may show your approximate location based on your IP address, only to make the form quicker to fill. You can change or clear it at any time.
• You must not misuse the Website, including attempting to gain unauthorised access, interfering with its operation, sending spam or automated requests, or using it for any unlawful purpose.
• All content on the Website, including text, design, logos and images, belongs to APEX or its licensors and may not be copied or reused without written permission.

09Limitation of liability

To the maximum extent permitted by law, APEX will not be liable for any indirect, incidental or consequential loss, including loss of travel, business opportunity or profit, arising from visa refusals or delays, decisions of authorities, acts of third-party suppliers, or events beyond our reasonable control (such as natural events, strikes, pandemics, government restrictions or technical failures). Where APEX is found liable, our total liability for any claim relating to a service will not exceed the service fee paid to APEX for that specific service.

You agree to indemnify APEX against any loss, claim or penalty arising from false or incomplete information or documents provided by you, or from your breach of these Terms.

10Disclaimer

APEX Worldwide Visa Services LLP provides visa facilitation and travel assistance only. Visa approval is solely at the discretion of the concerned embassy, consulate or immigration authority. Information on this Website, including visa requirements, documents, fees, processing times, prices and travel offers, is provided in good faith for general guidance and may change without notice. Country names, flags and references to authorities are used only to identify destinations and do not imply any affiliation or endorsement.

11Governing law and disputes

These Terms are governed by the laws of India. We encourage you to contact us first so that we can try to resolve any concern amicably. Subject to that, the courts at New Delhi, India will have exclusive jurisdiction over any dispute arising from these Terms or our services.

12Changes to these terms

We may update these Terms from time to time. The updated version will be posted on this page with a new “Last updated” date. Continued use of the Website or our services after an update means you accept the revised Terms.
