Visa Documentation: Building a Complete Checklist

Your documents tell the visa officer who you are, why you are travelling and how you will return. A complete, well-organised file makes the application easier to review and reduces the chance of delays or additional requests.

1. Core documents for most visas

  • Valid passport with enough validity and blank pages, plus old passports if requested
  • Recent photographs in the size and background the country requires
  • Completed and signed application form
  • Travel itinerary, hotel booking or invitation letter

2. Financial documents

Most countries ask for proof that you can fund the trip, such as recent bank statements, income tax returns and salary slips. Statements should be clear, recent and show regular activity.

3. Profile documents

  • Employees: employment letter and leave approval
  • Business owners: company registration and business proof
  • Students: college ID and a no-objection letter
  • Minors: birth certificate and parents’ consent

4. Keep it consistent

Names, dates and details should match across your passport, form, bookings and supporting letters. Small mismatches can raise questions.

5. Organise the file

Arrange documents in the order listed in the checklist, keep photocopies ready and make sure every scan is clear and complete.

How APEX can help
